Visibility Settings
When creating a new record or editing an existing record, find the Visibility Settings on the left hand side of the editing dashboard:
The default visibility setting for published records is “Public”. Change visibility settings by toggling between Public or Private.
Visibility can be controlled for the Full Record or Files Only.
When visibility is set to Public, buttons are green. When visibility for the Full Record is set to Private, buttons become red and display the warning, “Restricted: The record can only be accessed by user specified in the permissions.”
When the Full Record is Public, but Files Only is Restricted, all users can view the metadata record but only those with permission can view or download the associated files.
When Files Only is set to Restricted, the textbox becomes yellow and displays the warning, “Public with restricted files. The record is publicly accessible. The files can only be accessed by users specified in the permissions.”
Apply an Embargo
To apply an embargo on a record, first you must first set the record’s visibility to “Restricted”.
It is possible to embargo the Full Record or Files Only. Both embargoes follow the same procedure. First click the box next to “Apply an embargo” in the Visibility selection panel on the left hand side of the record’s editing window.
At that point a dropdown labeled Options will appear. In order to proceed with the embargo, you must enter a value in the required field labeled, “Embargo Until”. You must enter a specific date in YYYY-MM-DD format for the last day of the embargo. Optionally, you may also provide a brief explanation of the reason for the embargo in the textbox labeled, “Embargo reason”.
